Using Insights and Dashboards

Insights helps you turn your CRM data into clear, visual dashboards and reports. With filtering, grouping, and sharing options, you can measure performance, spot trends, and collaborate with your team.

Here’s what you can do with Insights:

  • Create and manage dashboards.

  • Create, edit, duplicate, and delete reports.

  • Filter and group data by time.

  • Share dashboards with your team and control access.

  • Refresh reports manually or automatically.

1. Accessing Insights

  • From the sidebar, click Insights.

  • You’ll land on the main Insights page.

  • Click Create Dashboard to start building your first one.

2. Creating and Managing Dashboards

Dashboards help you organize your reports and visualize key metrics at a glance.

To create one:

  1. Click Create Dashboard.

  2. Enter a name and (optional) description.

  3. Click Save; your dashboard will now appear as a card in Insights.

To delete a dashboard:

  1. Click the kebab menu (⋮) on the dashboard card.

  2. Select Delete Dashboard.

  3. Confirm the action to remove it.

3. Adding and Managing Reports

Inside each dashboard, you can create reports to analyze specific data points.

To add a report:

  1. Click Add Report.

  2. Select an Entity (e.g. Deals, Companies, or People).

  3. Choose your measures (metrics or attributes you want to track).

  4. (Optional) Add filters, grouping, or segmentation for deeper insights.

  5. Click Save.

Managing reports:

  • View Reports → Open any dashboard to see all saved reports.

  • Edit Reports → Click the kebab menu (⋮), make changes, and save.

  • Duplicate Reports → Use the kebab menu (⋮), select Duplicate, and rename or update as needed.

  • Delete Reports → Use the kebab menu (⋮), select Delete, and confirm.

4. Filtering and Grouping Reports

Filters and grouping help you control how data is displayed in your reports.
Use filters to set the time range, and grouping to define how results are organized.

Available Time Filters

  • Week to Date (WTD) → From the start of this week to today.

  • Month to Date (MTD) → From the start of this month to today.

  • Quarter to Date (QTD) → From the start of this quarter to today.

  • Year to Date (YTD) → From the start of this year to today.

  • 7D / 1M / 3M / 6M / 12M → The last 7 days, 30 days, 90 days, 6 months, or 12 months.

  • All → Your entire CRM data history.

Grouping Options

  • Daily → Break down results by day.

  • Weekly → View results by week.

  • Monthly → See results month by month.

  • Quarterly → Organize results by quarter.

  • Yearly → Summarize results per year.

Examples:

  • Month to Date + Daily → Shows activity for each day this month.

  • Quarter to Date + Monthly → Breaks your quarter into monthly results.

  • 12M + Yearly → Summarizes results by year over the past 12 months.

5. Refreshing Reports

Keep your data current and reliable.

  • Manual Refresh → Click Refresh Report to pull the latest data instantly.

  • Automatic Refresh → Reports update automatically when you open a dashboard.

The Last Refreshed Date at the top of each report shows when it was last updated.

6. Sharing and Collaboration

You can share dashboards with your workspace and control what others can do with them.

Access Levels

  • No Access → Only you can see the dashboard.

  • Read Only → Others can view and refresh reports but can’t edit.

  • Read & Write → Others can create, edit, and delete reports, but can’t rename or delete the dashboard.

  • Full Access → Others can do everything, including renaming, changing access levels, and deleting the dashboard.

How to Share

  1. Open the dashboard you want to share.

  2. Click the Share button.

  3. Choose an access level from the dropdown.

  4. A success message will confirm the update.

7. Verifying Your Insights

Before you rely on your dashboards, double-check that everything looks right:

  • Make sure filters and grouping display correctly.

  • Verify that only the right team members have access.

  • Refresh reports to confirm you’re viewing the latest data.
